Wedding onDimi is a service operated by onDimi ("onDimi," "we," "us," or "our"). This Privacy Policy explains how we collect, use, process, store, and protect personal information in connection with the Wedding onDimi website, AI Wedding Assistant, SMS, email, voice, chat, and related wedding guest concierge services (collectively, the "Service").

Wedding onDimi is designed to help couples, wedding planners, and other authorized wedding organizers manage wedding-related guest communications and information.

1. Who Uses Wedding onDimi

Couples, wedding planners, and other authorized wedding organizers ("Wedding Organizers") register for Wedding onDimi, create and manage their wedding, purchase or subscribe to the Service where applicable, and provide the information needed to operate their wedding guest concierge.

Wedding Organizers determine which guests are added to Wedding onDimi.

onDimi does not independently identify, source, purchase, or add guests to a wedding.

Wedding Organizers provide guest information to Wedding onDimi and represent that they have the appropriate right, permission, consent, or other lawful authority to provide that information and communicate with their guests through the communication channels they enable.

2. Information We Collect and Process

The information processed through Wedding onDimi depends on how the Service is used.

Wedding Organizer Information

We may collect and process:

  • Name
  • Email address
  • Phone number
  • Account information
  • Billing and subscription information
  • Wedding date and time
  • Wedding venue and reception information
  • Wedding schedule
  • Food and beverage information
  • Accommodation information
  • Parking and transportation information
  • Wedding FAQs
  • Other wedding information provided to the Service

Wedding Guest Information

Wedding Organizers may provide information about their guests, including:

  • First and last name
  • Phone number
  • Email address
  • Mailing address
  • Number of people invited
  • Existing RSVP information
  • Other information reasonably necessary to manage the invitation and wedding

Guests may subsequently provide additional information while interacting with Wedding onDimi, including:

  • RSVP and attendance status
  • Number of people attending
  • Names of additional attendees
  • Mailing address
  • Information about children attending
  • Dietary restrictions or food allergies
  • Meal requirements
  • Seating preferences
  • Accessibility needs or accommodations
  • Transportation or parking-related requests
  • Questions about the wedding
  • Communication preferences
  • Other wedding-related information voluntarily provided by the guest

Please provide only information reasonably necessary for the wedding and guest experience.

3. Communications

Wedding onDimi may facilitate communications between Wedding Organizers and their guests through supported channels, including SMS, email, voice, and chat.

When a guest communicates through Wedding onDimi, we may process:

  • Messages sent by the guest
  • Messages generated or sent through the Wedding Assistant
  • Date and time of communications
  • Communication channel
  • Delivery and response information
  • Information collected during the conversation
  • Conversation history
  • Scheduled and completed wedding communications

This information is used to maintain conversation context, answer wedding-related questions, collect requested information, manage RSVPs, and determine appropriate follow-up communications.

4. Guest Information Is Provided by Wedding Organizers

onDimi does not independently build wedding guest lists or select individuals to contact.

Wedding Organizers provide guest information and determine which guests are added to their wedding.

Wedding Organizers are responsible for ensuring they have the appropriate right, permission, consent, or other lawful authority to:

  • Provide guest information to Wedding onDimi;
  • Store and process that information through the Service; and
  • Communicate with those guests through SMS, email, voice, chat, or other communication channels they enable.

Communications through Wedding onDimi are based on information, instructions, configurations, and guest data supplied by the Wedding Organizer or information subsequently provided by the guest.

5. How We Use Information

We process information to provide and operate Wedding onDimi, including to:

  • Create and manage wedding accounts
  • Provide the AI Wedding Assistant
  • Manage guest lists
  • Send wedding-related communications
  • Request and collect RSVPs
  • Collect mailing addresses for invitations
  • Maintain attendee information
  • Answer wedding-related questions
  • Collect dietary restrictions and food allergies
  • Collect seating preferences
  • Collect accessibility requirements
  • Provide available parking and transportation information
  • Send RSVP follow-ups
  • Send wedding reminders
  • Send wedding-day communications
  • Maintain conversation history
  • Schedule appropriate wedding-related communications
  • Provide Wedding Organizers with information collected from their guests
  • Operate, maintain, secure, and troubleshoot the Service
  • Prevent fraud, abuse, and unauthorized access
  • Comply with applicable legal obligations

We do not use wedding guest information for unrelated advertising or marketing purposes.

6. AI Wedding Assistant

Wedding onDimi uses artificial intelligence to help Wedding Organizers communicate with their guests.

The Wedding Assistant may use wedding information provided by the Wedding Organizer together with information associated with or provided by the guest to:

  • Answer wedding-related questions
  • Collect RSVP information
  • Collect requested guest information
  • Maintain conversation context
  • Determine the next appropriate question
  • Schedule appropriate follow-ups
  • Provide wedding reminders and information

Artificial intelligence may occasionally misunderstand information or generate an inaccurate response. Guests should contact the applicable Wedding Organizer if important wedding information requires confirmation.

7. Connecting Your Own AI Assistant

Connecting an AI assistant is optional. Wedding Organizers who want to may connect an AI assistant they already use, such as Claude, ChatGPT, Meta AI, Grok, or Gemini, to their Wedding onDimi account through onDimi's connector at api.ondimi.com. That assistant is chosen by the Wedding Organizer and is not one of onDimi's service providers.

When you connect an assistant, you sign in to onDimi and approve the connection. The assistant then receives an access credential that lets it act on your one wedding only. Through it, the assistant can read and update your wedding details, guest list, RSVP answers, guest notes, the wedding information our concierge uses, and message history; start or pause outreach plans; and send updates to guests. Messages reach guests only after you approve them in the conversation with your assistant.

Information returned to your assistant becomes part of your conversation with that assistant and is handled under its provider's terms and privacy policy. onDimi does not receive or store your conversations with your assistant beyond the requests it sends to onDimi.

You can disconnect an assistant at any time in that assistant's settings. Changing your onDimi password disconnects every connected assistant. Access credentials expire on their own and must be renewed by signing in again at least every 90 days.

8. How We Share Information

onDimi does not sell or rent personal information belonging to Wedding Organizers or wedding guests.

onDimi does not disclose wedding information or guest information to unrelated third parties for their own marketing, advertising, or independent commercial purposes.

Information associated with a wedding is used to provide the Wedding onDimi Service for that wedding.

Information provided by a guest through Wedding onDimi may be made available within the applicable wedding account so that the Wedding Organizer can manage their wedding, invitations, RSVPs, accommodations, and guest requirements.

We may disclose information where required by applicable law, legal process, court order, or lawful government request, or where reasonably necessary to protect the security, rights, or safety of onDimi, our users, or others.

To the extent technical service providers process information solely as necessary to provide infrastructure or functionality used by Wedding onDimi, such processing is performed for the purpose of providing the Service and not for the provider's independent marketing or advertising purposes.

The service providers we rely on to run Wedding onDimi are Amazon Web Services (hosting, and email through Amazon SES), Twilio (text messages and phone calls), Stripe (payments), and OpenAI (the artificial intelligence and speech behind the concierge). They process information only to provide those functions for the Service.

9. SMS, Email, Voice, and Chat Communications

Wedding Organizers may enable Wedding onDimi to communicate with their guests through SMS, email, voice, chat, or other supported communication channels.

These communications may include:

  • Invitation-related communications
  • RSVP requests
  • RSVP follow-ups
  • Requests for mailing information
  • Wedding information
  • Wedding reminders
  • Wedding-day information
  • Responses to guest questions
  • Other communications directly related to the applicable wedding

Wedding Organizers are responsible for obtaining any authorization or consent required to initiate communications with their guests.

Guests may request that communications stop at any time and may use applicable opt-out mechanisms provided through the communication channel.

Opting out of communications through Wedding onDimi does not prevent the Wedding Organizer from contacting the guest independently outside the Service.

Message and data rates may apply depending on the guest's carrier and service plan.

10. Data Ownership and Use

Wedding Organizers retain responsibility for the wedding and guest information they provide to Wedding onDimi.

Guests retain rights in the personal information they provide, subject to applicable law.

onDimi processes this information only as reasonably necessary to provide, secure, maintain, and support the Wedding onDimi Service and as otherwise described in this Privacy Policy.

Wedding guest information is not sold or used by onDimi to independently market products or services to guests.

11. Data Retention

We retain personal information only for as long as reasonably necessary to:

  • Provide the Wedding onDimi Service
  • Support the applicable wedding
  • Maintain account and transaction records
  • Resolve disputes
  • Prevent fraud or misuse
  • Maintain security
  • Comply with applicable legal requirements
  • Enforce our agreements

Wedding Organizers may request deletion of their wedding information, subject to applicable legal, security, backup, and operational retention requirements.

A wedding account stays active for 12 months, or until 30 days after the wedding date, whichever comes first. After that, the wedding and its guest information are deleted, apart from records we must keep for legal, security, or accounting reasons.

If you delete your account, your wedding and all of its guest information are permanently deleted 7 days later.

12. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

Access to wedding information is limited according to the operation and administration of the Service.

However, no Internet transmission, telecommunications network, electronic communication, or electronic storage system can be guaranteed to be completely secure.

13. Privacy Rights and Requests

Depending on applicable law, individuals may have rights regarding their personal information, including the right to:

  • Request access to personal information maintained about them
  • Request correction of inaccurate information
  • Request deletion of personal information
  • Obtain certain personal information where required by law
  • Withdraw consent where processing is based on consent
  • Opt out of certain communications
  • Exercise other privacy rights provided under applicable law

Because Wedding onDimi may process guest information on behalf of a Wedding Organizer, we may coordinate a guest's request with the applicable Wedding Organizer where appropriate.

We may need to verify the identity of a person submitting a privacy request before completing the request.

Where applicable law provides a right to appeal a decision regarding a privacy request, the individual may submit an appeal using the same contact information provided below and identify the request as an appeal.

14. Children

Wedding onDimi is not intended to be used directly by children.

Wedding Organizers or adult guests may provide limited information about children attending a wedding, such as a child's name or meal requirements, when reasonably necessary for wedding planning.

Children should not directly submit personal information through Wedding onDimi without the involvement of a parent or legal guardian.

15. Third-Party Links

Wedding information may contain links to external websites or services such as venues, hotels, maps, registries, or other wedding-related providers.

Those websites and services operate independently from Wedding onDimi. Their own privacy policies and terms govern information provided directly to them.

onDimi is not responsible for the privacy practices or content of independent third-party websites.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as Wedding onDimi evolves or applicable requirements change.

When we update the Policy, we will revise the Effective Date at the top of this page.

Material changes will be communicated as required by applicable law.
